CASC Meet Entry System
UPDATED - we encourage everyone to use email and electronic funds transfer for meet entries and payments.
Meet entry procedures
During January we will trial taking meet entry payments by electronic funds transfer. This should cut down the workload for the assistant treasurer and the treasurer. Please read the instructions below and give it a go!
Break Times and Qualifying Times
Everyone must
ensure they check their swimmers meets any qualifying or break times for the meet. More information about qualifying times and break times is in the Club Handbook. Often our entries and fees are sent to the hosting Club before errors are
picked up - so it is not possible to refund meet entry fees for races that have
been incorrectly entered. Likewise, if a swimmer withdraws from a meet, after
we have sent the meet entries and fees it is not possible to process a refund.
This is how it will work:
Electronic
· Each meet will be given a code which will be published on the front page of the website (under Meet Entries Closing Soon), eg, for the NSW Country Regionals the code will be NSW CR, for the Speedo Sprints it will be SPEEDO
· Entry details must be emailed to Paul Naco, the CASC Race Secretary by the advertised CASC closing date (usually one week before the closing date on the flyer). Note:please don't also put a paper card in the CASC box as it is unnecessary.
· Payment for the entry fees plus the $2.00 coaching fee per card is to be deposited into the CASC account within two days of the CASC closing date or a cheque placed in the CASC box on pool deck (eg. if the CASC closing date is on a Friday the money needs to be in the CASC account by Monday).
· For electronic payments, please make sure you fill in the reference field with the swimmer's family name and then the meet code, eg, METCALFE SPEEDO. Most banks allow 18 characters in the reference field but if you run out of room leave off the last letters of the meet code.

The CASC bank account details are on the uniform order form. If you save CASC as a payee you only have to enter these details once.
Hard copy
· A completed card must be put in the CASC locked box on either pool deck by the advertised CASC closing date (usually one week before the closing date on the flyer). Note:please don't also email your entry as it is unnecessary
· A cheque for the entry fees plus the $2.00 coaching fee per card is to be placed in the CASC locked box within two days of the CASC closing date or an electronic transfer completed as above (eg. if the CASC closing date is on a Friday the money needs to be in the box by Monday).
· The envelope should have the swimmers name, meet and amount of money on the outside of the envelope.
Note: if you wish to pay by cash please don't put it in the CASC box but hand it
directly to Ron or Donna Lee Collins, Jenny Dunstan or Simon or Amelia Schiwy.
Acquittal
· The Race Secretary and Treasurer will then acquit the race entries and meet entry fees. Entries that have not been paid for by when the acquittal is conducted will not be submitted.
